Setting up your business email on your Android phone is easy. In this guide, we explain step by step how to do this in the most used email apps: Gmail, Outlook, and Samsung Mail.

Before you start

Make sure you have the following information ready:

  • Email address: e.g. info@yourcompany.com
  • Password: your email password
  • Incoming server: mail.yourdomain.com
  • Outgoing server: mail.yourdomain.com

Server settings

The Gmail app is pre-installed on most Android phones and works excellently with business email.

Step 1: Open Gmail

  1. Open the Gmail app on your phone
  2. Tap your profile picture in the top right
  3. Tap "Add account

Step 2: Choose account type

  1. Select "Other (not Gmail or Outlook)
  2. Enter your email address
  3. Tap "Next

Step 3: Select protocol

  1. Choose "Personal (IMAP) - this is the best option
  2. You can also choose POP3, but IMAP synchronizes better

Step 4: Enter password

  1. Enter your email password
  2. Tap "Next

Step 5: Configure incoming server

Fill in the following details:

  • Username: your full email address
  • Password: your password (already filled in)
  • Server: mail.yourdomain.com
  • Port: 993
  • Security type: SSL/TLS

Tap "Next

Step 6: Configure outgoing server

Fill in the following details:

  • SMTP server: mail.yourdomain.com
  • Port: 465
  • Security type: SSL/TLS
  • Require sign-in: On
  • Username: your full email address
  • Password: your password

Tap "Next

Step 7: Complete setup

  1. Set your account options (sync frequency, notifications)
  2. Give the account a name (e.g. "Work")
  3. Enter your name as it should appear in outgoing emails
  4. Tap "Next to complete

Your email is now set up! Open Gmail and check if your emails are coming in.

Method 2: Microsoft Outlook app

Outlook offers a user-friendly interface and good integration with calendar and contacts.

Step 1: Download Outlook

  1. Open the Play Store
  2. Search for "Microsoft Outlook
  3. Tap "Install

Step 2: Add account

  1. Open Outlook
  2. Tap "Add account or the menu icon
  3. Enter your email address
  4. Tap "Continue

Step 3: Automatic configuration

Outlook tries to automatically detect the settings. If successful, you only need to enter your password.

Step 4: Manual configuration (if needed)

If automatic detection fails:

  1. Tap "Manual setup
  2. Choose "IMAP
  3. Fill in the server details as described above
  4. Tap "Sign in

Method 3: Samsung Mail

Samsung phones have their own email app that also works well.

Step 1: Open Samsung Mail

  1. Open the Samsung Email app
  2. Or go to Settings > Accounts > Add account

Step 2: Select account type

  1. Choose "Other or "IMAP account
  2. Enter your email address and password

Step 3: Manual settings

  1. Select "Manual setup
  2. Choose "IMAP account
  3. Fill in the server details
  4. Tap "Sign in

Troubleshooting

"Cannot connect to server"

  1. Check your internet connection - Toggle wifi on/off
  2. Check the server name - No typos?
  3. Try a different port - 587 instead of 465
  4. Check your password - Caps Lock off?

"Authentication failed"

  1. Check your password - Try logging in via webmail again
  2. Use your full email address as username
  3. Reset your password via DirectAdmin if needed

"Certificate not trusted"

  1. This can happen with new domains
  2. Choose "Continue anyway or "Trust
  3. Verify you're using the correct server name

Emails not arriving

  1. Check sync settings - Set to "Push" or "Every 15 minutes"
  2. Check spam/junk folder
  3. Check quota - Is your mailbox full?

Tips for optimal use

  1. Use IMAP - Not POP3, for synchronization between devices
  2. Set up push notifications - For immediate notifications
  3. Create a signature - With your contact details
  4. Organize with labels/folders - Keep your inbox organized
