Set up an email address in Outlook 365

You have purchased an email address or email hosting package from an internet or hosting provider and would now like to add your email in the well known Outlook from Microsoft Office 365 but have no idea how to do this?

Then this is the right article! I’m going to explain step by step with clear pictures and information how you can add your own email address in Outlook Office 365 in order to read your email and of course to send!

I also give the most common problems with a clear solution. This will ensure that your email is working properly in the program Outlook Office 365.

Step by step email add in Outlook Office 365

  1. Open Outlook Office 365
  2. [Add email account](#2-add-an-email-account “Add email account”")
  3. Enter your email address

  6. Enter recommended settings

1. Open Outlook Office 365

First, open Outlook on your Windows or Mac OSX PC. Once you open it, you will see the following screen in outline:

2. Add an email account

Now that you have Outlook open, click on the File button that you see on the top left. Next you will see the Add Account button. Click here to add your email address to Outlook 365.

3. Enter your email address

You will now see a screen where you can enter your email address. So here you enter the email address that you would like to add to Outlook.

4. Enter password

With your email address comes a secure password that you received from your internet provider or email hosting provider. In this step you enter the specific password that belongs to your email address. Then click the Connect button.

5. SSL Warning Outlook

It may be that your email address is added to Outlook Office 365 without any notifications. However, we often see an SSL warning / error message at many Internet and hosting providers.

This means you have to perform an extra step to make sure your email address is successfully added to Outlook.

If you see the following screen, just press Yes to successfully add the email address to Outlook.

The email address has now been successfully added to Outlook.

Caution

It may still not work properly, this is because email hosting providers or internet providers often have very specific settings. When adding the email address, Outlook itself has chosen the general settings and therefore it may be that your email does not work yet.

In the next step we will go through the recommended settings where I will list the largest email hosting providers with their recommended email settings.

6.1 First, click on File again at the top left, then choose Account Settings and then click on Account Settings again.

6.2 A new window will open where you will see your added email address. Here you click on the email address and then the Restore button.

6.3 Another new window will open. You will see your email address there, the Advanced Options button and below that a checkbox with the text: I want to restore my account manually. You check this last one, then press the big blue button Repair.

6.4 You will now see a window called : IMAP - Account Settings.

Here you will see under incoming email:

  • Your email address
  • E-mail username
  • Your password
  • Server name
  • Port

You also have a link at the bottom of the page called outgoing email. If you click on this you will see:

  • Server
  • Port
  • Encryption method
  • Server time-outs
  • Login via secure SPA
  • Same server outgoing email SMTP authentication required
  • Same settings as incoming

Since each email provider often has different incoming and outgoing email servers and other settings, I will list the most common providers and their recommended email settings below.

Once you have entered the email settings, click the blue Repair button and then your email should be fully functional!
