Setting Up Email on Android: Complete Guide
Setting up your business email on your Android phone is easy. In this guide, we explain step by step how to do this in the most commonly used email apps: Gmail, Outlook, and Samsung Mail.
Before You Start
Make sure you have the following information handy:
- Email address: e.g. info@yourcompany.com
- Password: your email password
- Incoming server: mail.yourdomain.com
- Outgoing server: mail.yourdomain.com

Method 1: Gmail App (Recommended)
The Gmail app is pre-installed on most Android phones and works great with business email.
Step 1: Open Gmail
- Open the Gmail app on your phone
- Tap on your profile picture in the top right
- Tap on "Add account
Step 2: Choose Account Type
- Select "Other (not Gmail or Outlook)
- Enter your email address
- Tap on "Next
Step 3: Select Protocol
- Choose "Personal (IMAP) - this is the best option
- You can also choose POP3, but IMAP syncs better
Step 4: Enter Password
- Enter your email password
- Tap on "Next
Step 5: Configure Incoming Server
Fill in the following information:
- Username: your full email address
- Password: your password (already filled in)
- Server: mail.yourdomain.com
- Port: 993
- Security type: SSL/TLS
Tap on "Next
Step 6: Configure Outgoing Server
Fill in the following information:
- SMTP server: mail.yourdomain.com
- Port: 465
- Security type: SSL/TLS
- Authentication required: On
- Username: your full email address
- Password: your password
Tap on "Next
Step 7: Complete Installation
- Set your account options (sync frequency, notifications)
- Give the account a name (e.g. "Work")
- Fill in your name as it should appear in outgoing emails
- Tap on "Next to finish
Your email is now set up! Open Gmail and check if your emails are coming in.
Method 2: Microsoft Outlook App
Outlook offers a user-friendly interface and good integration with calendar and contacts.
Step 1: Download Outlook
- Open the Play Store
- Search for "Microsoft Outlook
- Tap on "Install
Step 2: Add Account
- Open Outlook
- Tap on "Add Account or the menu icon
- Enter your email address
- Tap on "Continue
Step 3: Automatic Configuration
Outlook will try to automatically detect the settings. If successful, you only need to enter your password.
Step 4: Manual Configuration (if needed)
If automatic detection fails:
- Tap on "Manual Setup
- Choose "IMAP
- Fill in the server details as described above
- Tap on "Sign In
Method 3: Samsung Mail
Samsung phones have their own email app that also works well.
Step 1: Open Samsung Mail
- Open the Samsung Email app
- Or go to Settings > Accounts > Add Account
Step 2: Select Account Type
- Choose "Other or "IMAP Account
- Enter your email address and password
Step 3: Manual Settings
- Select "Manual Setup
- Choose "IMAP Account
- Fill in the server details
- Tap on "Sign In
Troubleshooting
"Cannot connect to server"
- Check your internet connection - Toggle Wi-Fi on/off
- Check the server name - Any typos?
- Try a different port - 587 instead of 465
- Check your password - Is Caps Lock off?
"Authentication failed"
- Check your password - Try logging in again via webmail
- Use your full email address as username
- Reset your password via DirectAdmin if needed
"Certificate not trusted"
- This can occur with new domains
- Choose "Continue anyway or "Trust
- Check if you are using the correct server name
Emails not coming in
- Check sync settings - Set to "Push" or "Every 15 minutes"
- Check spam/junk folder
- Check quota - Is your mailbox full?
